Duties:
- Open and close the Thunder Bay Operations Centre
- Greet all visitors to the Thunder Bay Operations Centre, including students, instructors and guests;
- Monitor classes and conferences taking place onsite
- Support students writing exams at the onsite;
- Process incoming telephone calls and inquiries;
- Process incoming/outgoing mail;
- Process English/French instructor training sessions
- Support the Operations Centre with any building maintenance issues and provide van maintenance and service scheduling.
- Provide clerical support, data entry and filing as required;
- Coordinate equipment receipt and shipping;
- Manage and order office supplies;
- Provide basic technical support to students takings courses onsite;
- Support all departments by moving the process forward for any new locations, moves or closures
- Maintain a central inventory of all co-venturing agreements, including key details, expired dates.
- Manage all aspects required by each department for new locations, moves and closures.
- Provide ongoing coordination of Host Partnerships for the online learning centres as required.
- Perform other duties as assigned.
Qualifications:
- Emphasis on attention to detail and strict adherence to standardized policy and procedure;
- Excellent organization and communication skills;
- Superior customer service skills;
- Related post-secondary diploma or certificate in Administrative Assistant, Legal Assistant or Office Administration;
- 3 to 5 years' experience in an office setting;
- Capable of meeting short deadlines and prioritizing;
- Energetic, self-starter with a capacity to work in a fast-paced, multi-tasked office environment; and
- Previous experience working with databases.
Requirements:
- Ability to function in both English and French (verbal and written) is required
- Intermediate/advanced Microsoft Office Suite skills
- Flexibility to work occasional weekends or evenings as required
- Reliable means of transportation to work
