The Executive Assistant is responsible for a wide variety of administrative duties and executive support functions in support of the Chief Administrative Officer, Mayor and Members of Council. Duties include but are not limited to coordinating special projects for the office of the CAO and Mayor, providing research and writing support to the executive office, effectively managing complex relationships among diverse stakeholder groups, along with routine administrative duties, including, reception, arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence. The Executive Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public. Other duties shall be assigned as necessary.

Duties:
 Job Duties:
Provide direct administrative, office management and executive-level support to the CAO and Mayor/Council, as di-rected. 
Undertake the coordinator of Special Projects, as assigned, including arrangements for special events involving visit-ing dignitaries.
Conduct research to prepare draft reports, background documentation, briefing notes and related matters.
In conjunction with the Manager of Corporate Services/Municipal Clerk, facilitate communication from department managers, business unit leaders, and project managers.
Coordinate logistics of the management team programs including meetings, seminars, workshops, special projects, and events.
Maintain the CAO section of the Municipal website.
Maintain work schedules and calendars of the CAO and Mayor.
Prepare travel schedules, book travel arrangements, and make reservations for the CAO and Mayor/Council as di-rected.
Review all documents, reports, and correspondence prepared for executive signatures for format, content, gram-mar, spelling and make edits as necessary.
Receive and direct all inbound telephone calls, e-mails, and visitors for the executive office, as required.
Refer and/or redirect calls, e-mails, or visitors as required.
Coordinate executive office activities.
Receive, review and action the CAO's incoming mail, as required.
Review, evaluate, and distribute priority correspondence in conjunction with the Manager of Corporate Ser-vices/Municipal Clerk.
Complete expense reports, pay invoices, and other related duties.
Prepare and review presentations on a variety of topics/subjects for the executive office. 
Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other per-sons.
Qualifications:
Post Secondary Diploma in Business Administration, or relevant discipline, required.
Prior Municipal working experience is an asset.
Secondary School Diploma required.
Two or more years' experience in an Executive-support role preferred.
Strong knowledge of office procedures and practices.
Keen attention to details.
Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
Resourceful and flexible.
Proven organizational and time management skills. 
Proficient in writing to present clear, professional messaging.
Excellent verbal and written communication skills.
Professionalism, character and demeanor appropriate to and reflective of the offices of the CAO, Mayor/Council.
Ability to maintain strict confidentiality.
Ability to work with a variety of stakeholders.
Ability to respond to very fast-paced work environment and rapidly shifting priorities.
Ability to build collaborative and supportive relationships with all members of the Management Team.
